THE DEVELOPMENT TEAM

WHAT DOES THE DEVELOPMENT TEAM DO?

BOARD OF TRUSTEES:

The North Central Unit Chapel Board of Trustees is tasked with oversight of all of the areas of the project in accordance with the bylaws of the organization. The Board serves as a liaison between the Arkansas Department of Correction and the donors who make the project possible. The project has the approval of the Arkansas Department of Correction with the understanding that all funds will be raised prior to the start of construction. As the project has secured 501(c)3 non-profit status from the IRS, the Board president and treasurer will have fiduciary responsibility for the corporation including any tax filing and required corporate reporting. The Board will meet quarterly or convene in special session if a need arises for an immediate decision to be made that requires Board approval.

STEERING COMMITTEE:

The project steering committee was established by the Board of Directors as the next level of volunteers engaged to move the project forward. The committee was initially tasked with de-fining the project to a greater degree and the development of an executable plan of action at the tactical level.


First among the tasks to be performed was the crafting of a Mission and Vision statement for the project, as well as clearly identifying the overall project scope. . . .what’s in the box and what’s not. The committee was also charged with providing recommendations to the Board for consideration and approval as needed to insure the initial project development stayed focused on the goal and proceeded on schedule. 


Final approval of major key aspects of the project and its direction were made by the Board, based in large part on recommendations for action submitted by the committee.

VOLUNTEER TEAMS:

The project Steering Committee has defined five (5) key areas in which work will be performed to insure the project moves forward to successful completion. Below is a summary of the areas, each of which will at some point have an assigned team of volunteers whose responsibility it will be to define and execute the work within each area.

FUNDRAISING

This group will be involved in the solicitation of donations to finance the project by performing the following:

  • Face-to-face presentations
  • Grant opportunity identification and grant writing
  • Online donation solicitation
  • In-kind labor and material donor identification/solicitation
  • Participate in media interviews regarding project and donation opportunities


Skills helpful to this team’s members –

  • Passion for the project and its mission
  • Prior fundraising experience
  • Prior grant writing and grant funds administration experience
  • Online fundraising experience
  • Possession of networks and contacts in donor population
  • Public speaking and communication comfort
  • Persuasive personality

VOLUNTEER RECRUITMENT

This work group will identify and seek out individuals to join the project as their skills and desires determine. Work to be done in this area includes:

  • Skills identification and sourcing
  • Identification of likely supportive individuals, groups and organizations
  • Volunteer outreach/sourcing


Skills helpful to those on this team –

  • Prior volunteer recruitment experience
  • Extensive networks of potential volunteers
  • Comfortable asking potential volunteers for their involvement
  • Knowledge of the project and its volunteer needs
  • Ability to match potential volunteers with project resource needs

MARKETING

This group will serve in a key communications capacity through the below activities:

  • Project website development & management
  • Project “talking points” development
  • Media relations & press release development
  • Coordination of broadcast media interviews
  • Project newsletter development, production & distribution
  • Promotional video production
  • Establishment of social media presence for project (Facebook, Twitter, etc)
  • Printed material development and production coordination


Skills helpful to this team include –

  • Website mgmt. experience
  • Descriptive & persuasive writing
  • Publishing software use experience
  • Graphic design experience
  • Video production experience
  • Social media utilization experience
  • Marketing plan development for project
  • Definition of distribution plan for promotional material & information

FINANCE

This group will work closely under the direction of the Board Treasurer while performing the following tasks:

  • Accounts receivable (donations mgmt)
  • Accounts payable (expenditures mgmt)
  • Financial (bank) account mgmt
  • Financial reporting
  • IRS non-profit tax filing (form 990)


Skill helpful here include –

  • Finance background
  • Financial software use experience (Quickbooks, Excel, etc)
  • Accounts payable and/or receivable experience
  • Past experience serving in role(s) responsible for finances of a business or project
  • Detail oriented and well organized

PROJECT MANAGEMENT

Members of this team will oversee the project as it moves forward by doing the below work:

  • Project activity and task identification
  • Ongoing mgmt of project activities/tasks
  • Development/update of project plan
  • Sourcing of construction contractors
  • Identify/resolve project issues
  • Project status reporting
  • Motivate/facilitate project task completion


Helpful skills to these team members –

  • Prior project mgmt experience
  • MS Project software familiarity
  • Well developed communication skills
  • Team leadership experience
  • Ability to motivate/energize others
  • Past experience with similar projects

The Steering Committee is currently rolling out a traveling presentation about the chapel project that can be delivered to groups upon request. Scheduling such a presentation at one’s church or club or civic group meeting would be another way any-one might help the project gain wider visibility.
